Spanish Accountants in London for Small Businesses and Sole Traders

We work with Spanish-speaking sole traders, landlords and limited company owners across London and the wider UK, with a turnover of under £1 million. Many of them run a good business but find the UK tax system hard to follow, because the forms, the terms and the deadlines are different from what they knew at home. You do not need to know how UK tax works before you contact us. Tell us about your business and we will give you a fixed quote before any work starts. If you already have an accountant who does not speak Spanish, we can take over from them. If you have never filed in the UK, we will walk you through it step by step.

What Does Our Spanish Accounting Service Cover?

Most people reach us because they are behind on their records, they received a letter from HMRC they could not follow or a deadline is close and they are not sure what is missing. We start by reading through where things stand: your bank statements, your sales invoices, your receipts and anything HMRC or Companies House has sent you. Then we tell you in plain Spanish what is done, what is missing and what it will cost to fix.

After that, we keep your books up to date every month or every quarter, whichever suits you. When a VAT return, payroll submission, set of year-end accounts or tax return is due, we prepare it, send you a summary in Spanish and ask for your approval. Once you agree, we file it and send you confirmation. If your business grows, takes on staff or goes over the VAT limit, we change the service to match so nothing catches you by surprise.

How Do We Work With You in Spanish?

Four steps, no jargon. Here is what happens from your first message to your first filing.

Tell Us About Your Business

Contact us by email or the website form and say that you prefer Spanish. Tell us what your business does, whether you are a sole trader or a limited company, whether you are registered for VAT and how you keep your records now. A limited company should have its company number ready. A sole trader should have their Unique Taxpayer Reference (UTR) if they have one. If you do not, we will tell you how to get it.

We Review and Organise Your Records

We look at what you have and sort it into the UK format. If you are starting out, we help you open your records properly from day one. If you already trade, we check your past entries, find gaps and tell you what needs correcting. You get a short summary in Spanish.

Share Your Records Through the Month

You send us invoices, receipts and bank statements by email or through accounting software. We record them, match them to your bank and ask you about anything that is unclear. You can write to us in Spanish at any point.

We Prepare, You Approve, We File

When something is due, we prepare it and explain the figures in Spanish. Once you say yes, we file it with HMRC or Companies House and send you confirmation that it went through.

UK Tax Without the Language Barrier

We built this service for people who left one tax system and ended up inside another. You might have moved to London to work, to study or to start a business. You might run a restaurant, a cleaning company, a consultancy or a small import business. Whatever you do, you did not come here to become an expert in HMRC, and you should not need to be.

Most owners tell us the same things. The letters from HMRC are hard to read even for English speakers, and harder in a second language. The UK tax year runs from 6 April to 5 April, not from January to December like in Spain. Terms such as Self Assessment, National Insurance and Making Tax Digital do not match anything they used before. And the cost of a mistake feels high, because penalties can start from the first day a deadline is missed.

A Spanish-speaking accountant removes that stress. You can ask a question the way you would ask a friend, and get an answer that makes sense. You can say you do not understand and nobody will mind. We explain each figure, each form and each deadline until you are comfortable.

You can use us as little or as much as you like. Some clients send us papers once a month and do nothing else. Others handle their own invoices and only need us for VAT and year-end. Either way, you see what we do before we file it.

If you also live part of the year in Spain, tell us early. We handle the UK side and can work alongside your Spanish adviser so that both sets of filings agree.

Dormant Company Accounts Made Easy

What Do Spanish Accountants in London Do Each Month?

The work depends on your business, but a normal month looks much the same for most clients. Your invoices, receipts and bank transactions come in. We record each one in the right category and check that sales and costs fall in the right period. We chase missing items and send you a short list of questions, in Spanish if you prefer.

How Does UK Bookkeeping Work Day to Day?

Bookkeeping means recording every sale and every cost so that your profit, your VAT and your tax are always based on real figures. In the UK, HMRC expects you to keep these records for at least five years after the 31 January filing deadline for that tax year. Most small businesses now keep them in cloud software, which links to the bank and saves a lot of typing. We choose a setup that fits your size and teach you the parts you need.

What Is the Difference Between a Bookkeeper and an Accountant?

A bookkeeper records your transactions and keeps your books tidy. An accountant takes those records and prepares your tax returns and year-end accounts, and advises you on tax. Small businesses usually need both. Our Spanish bookkeeping specialists handle the day-to-day records, and our qualified accountants prepare and file the returns, so you deal with one team.

What Does Certified Spanish Bookkeeping Mean?

There is no special UK certificate called Spanish bookkeeping. When people ask for certified Spanish bookkeeping, they usually want two things: a bookkeeper who is properly qualified in the UK and who can also work in Spanish. Look for membership of a recognised UK body such as AAT, ICAEW, ACCA or the Institute of Certified Bookkeepers. Also check that the firm is registered for anti-money laundering supervision, which UK accountancy firms must be.

Should I Outsource Spanish Bookkeeping or Do It Myself?

Doing it yourself saves money at first, but it takes time and mistakes tend to show up later as a wrong VAT return or a surprise tax bill. Outsource Spanish bookkeeping if you spend evenings sorting receipts, if you are unsure how to record a payment or if you would rather spend that time on customers. Many owners keep issuing their own invoices and pass everything else to us.

Is Cheap Spanish Bookkeeping Good Enough?

A low price is fine as long as you know what it covers. A very low monthly fee often means data entry only, with VAT, year-end accounts and tax advice charged on top. Before you choose, ask what is included, how many transactions the price covers and what happens if you go over. We quote one fixed fee for the work you need, so you can compare like for like.

How Do Spanish Accountants Help With UK Tax and Making Tax Digital?

The UK has separate rules for self-employed people, VAT-registered businesses and limited companies. Making Tax Digital (MTD) is HMRC’s system for keeping records digitally and sending figures through compatible software. Knowing which rules apply to you is half the job.

How Does Self Assessment Work for Self-Employed People?

If you work for yourself, you usually report your income through a Self Assessment tax return. The tax year runs from 6 April to 5 April. You file online and pay any tax due by 31 January after the end of that tax year. If you have a large bill, HMRC may ask for payments on account, which are advance payments towards the next year, due on 31 January and 31 July. You must tell HMRC you are self-employed by 5 October after the end of the tax year in which you started. Missing the 31 January filing date brings an automatic £100 penalty, even if you owe no tax.

Will Making Tax Digital for Income Tax Affect Me?

It may. Making Tax Digital for Income Tax started on 6 April 2026 for sole traders and landlords with qualifying income above £50,000. This means your gross income from self-employment and property, before costs, taken together. The limit falls to £30,000 from April 2027 and to £20,000 from April 2028. If you are in scope, you must keep digital records, send HMRC a quarterly update and then complete a final declaration instead of the usual yearly return. If your income is close to a threshold, we can check your position and tell you when you need to start.

What About Limited Companies?

A UK private limited company, or Ltd, is similar to a Sociedad Limitada in Spain. It has its own yearly tasks. It must file annual accounts with Companies House, normally within nine months of the year end, and send a Corporation Tax return to HMRC, usually within 12 months of the year end. Any Corporation Tax is due nine months and one day after the year end. It must also file a confirmation statement every year. Late filing of accounts brings automatic penalties that start at £150 and rise the later you file.

What If I Live Between the UK and Spain?

Where you pay tax depends on where you are tax resident. The UK decides this with the Statutory Residence Test, which looks at the days you spend here and also at ties such as family, a home and work. Spain has its own rules. If both countries could treat you as resident, the UK and Spain have a double tax agreement with tie-breaker rules, and tax paid in one country is normally credited in the other so the same income is not taxed twice.

These cases are not simple, and the answer depends on your facts. We handle the UK side, including your UK return and records. For Spanish filings, we suggest you use a Spanish adviser, and we are happy to share the UK figures they need.

FAQs About Spanish Accountants in London

Answers to the questions Spanish-speaking business owners in London ask us most about bookkeeping and tax.

What do Spanish accountants in London do?

They do the same work as any UK accountant, in Spanish. That includes bookkeeping, VAT returns, payroll, year-end accounts, Self Assessment and Corporation Tax. They file with HMRC and Companies House in English and explain everything to you in Spanish.

How much do Spanish accountants in London charge?

The fee depends on how many transactions you have, whether you are VAT registered, whether you run payroll and how often you want your books updated. We give you a fixed quote before work starts, so you know the cost in advance.

Can you deal with HMRC for me in Spanish?

We deal with HMRC and Companies House for you, and their forms and letters are in English. When we receive something, we explain it to you in Spanish and tell you what to do next. You can send us any letter you do not understand.

Can you also do my tax in Spain?

We cover UK tax and UK accounting only. If you also have Spanish filings, a Spanish gestor or adviser should handle them. We can work alongside them and give them the UK figures they need.

Will I pay tax in both the UK and Spain?

It depends on where you are tax resident and where your income comes from. The UK and Spain have a double tax agreement, and tax paid in one country is normally credited in the other. Because each case is different, tell us your situation and we will explain what applies on the UK side.

Do I need to register as self-employed in the UK?

Yes, if you work for yourself and your trading income is more than £1,000 in a tax year, you normally need to register for Self Assessment. You must do this by 5 October after the end of the tax year in which you started. We can register you and set up your records.

When must I register for VAT?

You must register if your taxable turnover goes above £90,000 in any rolling 12-month period, or if you expect to go over that figure in the next 30 days. You can also register voluntarily before then. Registered businesses must file VAT returns through MTD-compatible software.

When do I have to follow Making Tax Digital for Income Tax?

It applies to sole traders and landlords with qualifying income over £50,000 from April 2026, over £30,000 from April 2027 and over £20,000 from April 2028. The income test looks back at an earlier tax year, so check your own figures or ask us to do it for you.

Can I outsource Spanish bookkeeping if I only need a few hours a month?

Yes. Many clients need light support only. We scope the work around your transactions and agree a fixed fee for it. If you need more later, we can move you to a higher level of support.

What is the UK tax year, and when is my tax return due?

The UK tax year runs from 6 April to 5 April. An online Self Assessment return for a tax year is due by 31 January after it ends, which is also the date any tax for that year is due.

What if I have already missed a deadline?

Contact us as soon as you can. We will check what was due, what has been filed and what penalties may apply, and then bring your filings up to date. We cannot promise a penalty will be cancelled, but filing quickly stops it growing.
